Section 4

Project Management Methods & Tools

The tools I will use to manage the stages of the project are:

Microsoft Project

I will use this to create a work breakdown structure which to track project elements.  I can produce a Gantt chart in this software.  Gantt charts help you track progress against each element of the project to ensure timely delivery

SWOT Analysis

SWOT stands for Strengths, Weaknesses, Opportunities and Threats and can be used to identify internal factors (Strengths & Weaknesses which are under my control) and external factors (Opportunities & Threats which could be client issues so less controllable) that might affect the project.

A SWOT analysis consists of four boxes, one for each element.  In the boxes you list the key elements that might affect your project.    The SWOT layout helps you visualise the positives and negatives of the project and identify areas which I would need to monitor closely.

Risk Analysis

A Risk Assessment is a useful project tool which helps your awareness of risks and hazards that might affect the project.  You can then identify steps to mitigate/reduce the risks which increases the chances of a successful project outcome.

Tracking & Mitigation

To mitigate the risks to my project I will ensure I spend time e.g. learning software needed and also tracking progress against my Gantt charts to keep on programme.

It is critical to keep open communication with my client at regular stages to ensure all elements are on track to meet their needs.
